Ensuring Data Accuracy and Calculations within Warehouse Dashboard

A client's warehouse department was identifying certain errors within its Power BI dashboard when data clearly did not reflect reality observed in operations. Working closely with the client, the YCP Unison team worked to redefine data sources and calculation methods within the system so that the dashboard accurately reflected their real-life operations.

  • Definition of 11 key indicators for the management of the warehouse area and inventory control, up from an initial 5.

Through close collaboration between YCP Unison and the client teams, the following areas were prioritized in optimizing the existing dashboard and its utilization:
As-Is Documentation for Analysis
The main indicators presented in the Power BI dashboard were identified, analyzing the frequency of updating. A survey of the flow of information and data sources was then carried out for analysis to identify opportunities for improvement.
Redefined Indicators to Monitor Performance
The area's key indicators were redefined to ensure compliance with objectives and guarantee efficient monitoring of the operation and performance for each key process.
Continuous Improvement
Analysis and mapping of the flow and sources of information for the detection and validation of areas of opportunity for improvement.

Our Approach

During the first weeks of the project, the results of the indicators were monitored on the client’s existing dashboard. The source of information within this dashboard was from a series of reports within its Oracle system. It was identified that the update period was not defined, there was no analysis of the results, and the information presented in the dashboard did not correspond to the reality observed in the client’s mining operations. 

By questioning the data presented in the Power BI dashboard based on the reality observed in the warehouse, YCP Unison, with the support of the warehouse supervisors, carried out an analysis and evaluated the dashboard’s data sources and calculation methods, identifying considerable errors. The team then proceeded to take measures to ensure reliable information which was aligned to reality, leading to aligned and efficient action plans.

Results

The project successfully optimized Supply Chain & Logistics management for the client with reliable sources of information used in its dashboard for confident and informed decision-making. An optimal flow of data also followed, allowing for continuous improvement. 

Indicators in the dashboard of the warehouse were also defined and developed, along with update frequencies and parties responsible, along with clear definitions of baselines and objectives for each indicator to ensure alignment across teams.
